Job Description

JOB SUMMARY

Provides data entry and office/program support. Enters criminal case information into database as first step in file creation process and interacts with law enforcement personnel.

 

MINIMUM QUALIFICATIONS

One (1) year experience performing general office support or clerical duties in a professional office setting such as government office, clinic or physician’s office, court or legal office.

 

Applicants possessing experience with a Prosecutor Information Management System (PIMS) or an Offender Management System (OMS), or other similar prosecution/law enforcement case management software, may be preferred. Experience must be clearly documented on your application profile and/or resume.

 

Due to the nature of this position, the successful applicant must successfully pass an initial criminal background check as well as every two years thereafter and continuously meet the requirements of the Bureau of Criminal Information (BCI).

• Responds to public inquiries by answering telephones and assisting visitors and community members; determines reason for visit or inquiry, routes call to the division, assigned attorney or employee.
• Works under steady pressure with frequent interruptions and a high degree of public in-person contact or by telephone while maintaining a cooperative, professional, and appropriate attitude in the workplace.
• Responds to visitors or witnesses in Salt Lake County who may be displeased, distressed, angry or difficult to assist.
• Properly follow internal security and safety procedures to ensure the safety of the office building, visitors, and colleagues.
• Provides general information to the public and outside agencies; maintains the confidentiality of the District Attorney and Court records according to law and policy.
• Interacts with various criminal justice agencies within Salt Lake County and court personnel to properly assist visitors and callers.
• Provides information on procedures and services to other employees and the public and monitors and maintains a working inventory of office supplies and equipment.

• Distributes mail addressed to the District Attorney and routes to the proper division, attorney, or employee.
• Reviews and mails letters addressed to victims for cases in which the District Attorney’s office is prosecuting.
• Provides administrative support to attorneys and other employees who are expecting visitors, witnesses, or acceptance of evidence as it pertains to cases handled by the District Attorney’s office.
• Prepares and distributes office and court documents and enters case information into multiple databases.
• Reviews documents received from other agencies, victims or witnesses and enters them into the database.
