JOB SUMMARY

 

Performs duties in various areas of the Recorder’s office, including imaging, recording, and research counter handling of funds, mail, and customer service in person by telephone or email. Enters data into an automated recording system.   

 

MINIMUM QUALIFICATIONS

 

Two (2) years of closely related experience OR an equivalent combination of related education and experience.

 

Due to the nature of this position, the successful applicant must pass a required background check through fingerprinting and enrollment in the continuous RAP Back (Record of Arrest and Prosecution Back) program in accordance with current County Human Resources policy requirements.

 

ESSENTIAL FUNCTIONS

 

  • Inspects all documents presented for recordation for compliance with statutory requirements. Rejects documents that do not meet requirements and informs interested parties of the reason for rejection.
  • Records transactions, issues endorsements and receipts, forwards revenues and reconciles transactions according to policy and procedures.
  • Assists the public in researching records, including historic handwritten indexes and books, microfiche, GIS, and in-house systems.
  • Assists and instructs customers by telephone, email, or in person to ensure access to the most accurate and current data.
  • Indexing data from recorded instruments into an automated system.
  • Prepares and images document permanent record and archiving.
  • Reviews electronic images to ensure the product is legible, of archival quality, and meets State government and National Standards Committee standards.
  • Directs mail, walk-ins, and incoming calls to divisions or individuals based upon personal knowledge of functions of all divisions.  Researches and determines necessary action to provide service to the customer.
