JOB SUMMARY

 

Processes vital records and documents for Salt Lake County. 

 

MINIMUM QUALIFICATIONS

 

Two (2) years of general office experience in a closely related field; OR an equivalent combination of education and experience.

 

Must be bilingual in English and Spanish, and requires reading, writing, and speaking both English and Spanish fluently without the use of a translation app or program.

 

Must become a notary public within one (1) year of hire.

 

Due to the nature of this position, the successful applicant must pass a required background check through fingerprinting and enrollment in the continuous RAP Back (Record of Arrest and Prosecution Back) program in accordance with current County Human Resources policy requirements.

 

A valid Driver’s License accepted by the State of Utah is required at the time of hire.  A valid Driver’s License issued by the State of Utah must be obtained within six (6) months of hire to operate a County vehicle.

 

ESSENTIAL FUNCTIONS

  • Maintains security of vital records; ensures confidentiality and prevents fraudulent use of records.
  • Registers accurate death records after performing reviews and making necessary corrections in collaboration with funeral homes, physicians, and the Utah Department of Health and Human Services Vital Records.
  • Verifies entitlement and accuracy before issuing certified copies of vital records.
  • Provides customer service and disseminates general information to the public and staff. Answers telephones, responds to inquiries, routes calls, takes messages, and provides information as assigned.
  • Processes fees and daily cash reports in accordance with County policies and procedures.
  • Monitors, orders, and delivers supplies and necessary applications. Maintains files and archival storage of applications.
  • Assists clients in preparing, processing, and notarizing affidavits or declaration of paternity forms; coordinates the exchange of affidavit information between the Utah Department of Health and Human Services Vital Records and the Department.
  • Prepares and submits daily reports as required by the Department and the Utah Department of Health and Human Services Vital Records.
  • Educates the public and internal and external partners on policy and law changes regarding Vital Records.

KNOWLEDGE, SKILLS, AND ABILITIES (KSA)

 

Knowledge of: 

  • The Utah Vital Statistics and Medical Examiner Acts (Utah Code Annotated, Title 26, Chapters 2 and 4 as amended)
  • Utah Bureau of Vital Records Rules and Regulations
  • Department/Bureau policies and procedures
  • County Cash collection and purchasing procedures
  • Public relations and general human relations techniques
  • Planning and problem-solving techniques
  • Computer software related to job-specific duties

 Skills and Abilities to:

  • Be organized and detail-oriented
  • Use business English
  • Use and troubleshoot computer software and office equipment related to job-specific duties
  • Follow written and oral instructions and procedures, and communicate effectively both orally and in writing
  • Plan and develop or revise office procedures

  • Establish and maintain effective working relationships with employees, personnel from other agencies, and the general public

Additional Information

This position works Monday through Friday, 8:00 AM to 5:00 PM.

 

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS

 

Work is typically done in an interior office environment that may be characterized by tight quarters.

 

IMPORTANT INFORMATION REGARDING THIS POSITION

 

This position requires travel throughout Salt Lake County as needed to cover staffing needs at the three Vital Records locations.
